Job Description:

We are seeking a proactive and organised Executive - Property Management to support the smooth operation and administration of office properties. The role involves coordinating property takeovers and handovers, maintenance and building services, lease and contract administration, regulatory compliance, and facility-related costs. The ideal candidate should be comfortable coordinating with landlords, building management, vendors, and internal teams while maintaining accurate property and facility records.

Job Responsibilities

1. Property Takeover & Handover Management

  • Coordinate the takeover and handover of office properties, including key collection and return.
  • Conduct property inspections and document the condition of premises with photographic evidence.
  • Record meter readings for utilities such as electricity and water, where applicable, and obtain necessary sign-offs.
  • Coordinate handover inspections with landlords and follow up on any reinstatement requirements.

2. Building Operations & Regulatory Compliance

  • Ensure office operations comply with relevant municipal regulations, building by-laws, and statutory requirements.
  • Liaise with building management and relevant authorities on matters relating to occupancy, safety, and building services.
  • Keep track of regulatory or building-related requirements that may impact office operations.

3. Facilities & Maintenance Coordination

  • Coordinate with landlords' facilities and maintenance teams to address maintenance-related issues across office locations.
  • Conduct joint inspections to identify issues and follow up on necessary corrective actions.
  • Monitor and escalate critical repairs relating to air conditioning, lifts, plumbing, electrical systems, and other facilities to minimize operational disruptions.

4. Lease & Contract Administration

  • Assist with providing required company and occupancy information to landlords, including KYC documentation.
  • Maintain records of lease terms, renewal dates, rent and service charge revisions, and security deposit requirements.
  • Support the maintenance of organised records of lease agreements, correspondence, inspection reports, and other property-related documentation.

5. Service Agreements & Cost Coordination

  • Coordinate the administration of service agreements with vendors providing security, janitorial, water supply, and other essential services.
  • Assist in reviewing and verifying invoices relating to rent, service charges, utilities, maintenance, and other facility expenses.
  • Support budgeting and tracking of facility-related costs across office locations.
  • Maintain positive working relationships with landlords, building management, and service providers to ensure smooth day-to-day operations.

Qualifications & Skills

  • Bachelor’s degree in Facilities Management, Property Management, or a related field.
  • 1–2 years of experience in facilities or building management, supporting day-to-day property operations, maintenance activities, and compliance requirements.
  • Hands-on experience coordinating property takeovers and handovers, documentation, and condition inspections.
  • Experience liaising with building management and coordinating property inspections, defect rectification, and reinstatement works.
